Executive Assistant to the CEO (Remote)

Seller Finance Academy is a mission-driven real estate education company founded by Mel Dorman. We teach ethical, community-centered wealth-building strategies, with a focus on seller financing as a practical alternative to traditional bank-dependent systems.
We are hiring a highly organized, systems-minded Executive Assistant to support the CEO directly. This role exists to protect the CEO’s time, focus, and energy so she can operate at her highest level as a visionary, educator, and entrepreneur.
This is a tactical, execution-focused role, not a strategy or people-management position. The right person thrives behind the scenes, loves clean systems, and takes pride in making complex days run smoothly.
Key Responsibilities
Executive Support & Time Management
- Manage the CEO’s calendar with precision, including scheduling, rescheduling, and prioritization
- Protect focus blocks and minimize unnecessary context switching
- Prepare meeting agendas, background notes, and relevant materials
- Anticipate and resolve scheduling conflicts proactively
Inbox & Communication Management
- Triage and manage the CEO’s email inbox daily
- Draft, send, and respond to emails on the CEO’s behalf with professionalism and discretion
- Flag urgent or time-sensitive messages
- Maintain an organized inbox system aligned with CEO preferences
- Compile and send a concise daily email digest summarizing priorities, tasks, and decisions
Financial & Administrative Execution
- Process and track bill payments using QuickBooks Online
- Categorize transactions accurately and flag discrepancies
- Maintain clean records and prepare documentation for bookkeeping review
- Track expenses and ensure timely follow-through
Task & Workflow Management
- Organize tasks, deadlines, and follow-ups across systems
- Translate CEO priorities into clear, actionable next steps
- Maintain orderly digital files, documents, and records
General Executive Assistant Support
- Coordinate logistics for meetings, calls, and virtual events
- Provide light Canva support for simple documents or internal visuals
- Handle additional administrative tasks that reduce friction in the CEO’s day-to-day work
Qualifications
- 3+ years of experience supporting a senior executive, founder, or CEO
- High proficiency in QuickBooks Online, including bill pay and transaction categorization
- Strong working knowledge of Gmail and Google Calendar, with experience managing an executive inbox and calendar
- Comfortable drafting and sending professional emails on behalf of an executive
- Exceptionally organized with strong systems, follow-through, and attention to detail
- Calm, discreet, and trustworthy with sensitive or confidential information
- Proactive, self-directed, and comfortable operating with minimal oversight
- U.S.-based with reliable internet and a professional remote work environment
