Position Overview
The Home Office
Receptionist serves as the first point of contact for visitors, callers, and guests to the Home Office. This role provides a welcoming and professional presence while performing a variety of administrative and clerical tasks to support smooth daily operations. The Receptionist ensures all interactions reflect the company’s brand, values, and commitment to exceptional service.
Key Responsibilities
- Promptly and professionally greet all callers and visitors to the Home Office.
- Operate the telephone console during business hours to receive incoming calls, transferring them promptly to the appropriate individual, location, or voicemail.
- Respond accurately and courteously to general company inquiries via phone, email, and in person, maintaining confidentiality of company and employee information at all times.
- Announce visitors to employees and issue identification badges, logging visitor, employee, contractor, vendor, auditor, and temporary employee information in compliance with building security policies and procedures.
- Monitor premises within view of the reception area and via security cameras in the absence of the Facilities Supervisor; promptly report equipment malfunctions, building issues, security concerns, or solicitations to the Facilities Supervisor or designated backup.
- Coordinate with internal and external contacts to arrange shipment or pickup of company-donated products and equipment.
- Maintain a safe, clean, and organized reception area in compliance with procedures, rules, and regulations.
- Document and communicate actions, irregularities, and ongoing needs to ensure continuity among work teams.
- Perform a variety of administrative duties including filing, faxing, copying, distributing memos, correspondence, and reports, as well as creating and proofreading documents.
- Receive and distribute incoming mail, packages, deliveries, and messages promptly.
- Direct employees, contractors, and vendors to the Facilities Supervisor for service requests or work orders; relay company requests to the Facilities Supervisor as needed to provide efficient service.
- Provide support to other departments for special events, projects, and communications as requested.
- May be asked to perform additional duties as necessary
Position Requirements
- High school diploma or equivalent required.
- 1 of related experience and/or training, or an equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite.
- Knowledge of digital multi-line telephone systems preferred.
- Strong communication skills with a professional, courteous demeanor.
- Ability to maintain confidentiality, manage multiple priorities, and provide excellent customer service.
- Internal Only: Experience with Community Coffee, even if unrelated, may fulfill this requirement at the discretion of the hiring manager with approval from Human Resources
