Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting daily administrative tasks. The ideal candidate will be proficient in office management, possess strong communication skills, and have experience with various office software and systems. Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records using office management software such as QuickBooks
- Handle correspondence via email, phone, and written communication with excellent phone etiquette
- Assist with bookkeeping tasks including invoicing and basic financial record keeping
- Support office management activities including supply ordering and document proofreading
- Provide customer support by addressing inquiries promptly and efficiently
- Maintain a clean and organized reception area to promote a welcoming environment
- Support personal assistant duties as needed, including calendar management and document preparation
Qualifications
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks or similar bookkeeping software is desirable
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette
- Bilingual abilities are preferred to assist diverse clientele effectively
- Strong attention to detail for proofreading and document accuracy
- Ability to manage time efficiently and prioritize tasks appropriately
- Previous experience in office management or administrative support roles is advantageous
