Duties
- Greet visitors at the front desk with professionalism and warmth, providing excellent customer service and answering multi-line phone systems promptly using proper phone etiquette.
- Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records.
- Assist with calendar management and scheduling appointments or meetings for staff or management, utilizing time management skills.
- Support office management activities such as ordering supplies, managing inventory, and coordinating maintenance requests.
- Conduct proofreading and review documents for accuracy before distribution or filing.
- Provide clerical support including photocopying, scanning, faxing, and preparing correspondence or reports.
- Support administrative functions related to medical or dental reception duties if applicable, including patient check-in/out processes and appointment scheduling.
- Assist personal assistants or executive staff with calendar management and other administrative tasks as needed.
Skills
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and general computer literacy.
- Excellent phone etiquette skills with experience managing multi-line phone systems.
- Strong data entry skills with high accuracy; typing speed is advantageous.
- Ability to handle customer service interactions professionally while maintaining a positive attitude.
- Experience in office management tasks such as supply ordering, calendar coordination, and record keeping.
- Familiarity with medical or dental receptionist duties is a bonus but not required.
- Effective time management skills to prioritize tasks efficiently in a fast-paced environment.
