Primary Objective:
This position is responsible for assisting the executive in all areas of the company business, managing the schedule, travel and events coordination for the company team, and managing all administrative duties for the executive and the company as assigned.
Responsibilities:
- Create and maintain reports for Aveda Arts & Sciences and related businesses
- Process travel expense reports for team members
- Responsible for student kit ordering and work in partnership with Neill Fulfillment on all kit related tasks
- Create and prepare presentation materials for meetings and special events
- Create emails, announcements, and documents as needed from dictation
- Manage executive’s calendar
- Manage executive’s email account
- Coordinate all travel arrangements for executive and company team members
- Answer incoming calls and greet all guests
- Communicate with company clients and team members
- Event and company meeting planning including the planning, coordination, logistics, and execution
- Creating company communications
- Special projects as assigned
General:
- Work in accordance with the Aveda Mission Statement; adhere to company policies and procedures.
- Manage expenses within fiscal guidelines
- Participate in team meetings
Minimum Requirements:
- BA/BS Degree in a business-related field
- Desire to work in a fast paced environment
- Ability to maintain confidentiality
- Detail oriented and organized
- Excellent verbal and written communication skills
- Must have good follow-up skills
- Be willing to assist all team members and able to prioritize workflow
- Excellent computer skills with Excel, Word, Power point and Outlook
- Typing skills at least 50 WPM
- Internet savvy
- Goal driven and proactive
- Excellent customer service skills
- Must be able to work a flexible schedule including evenings and weekends
- Ability to travel as needed
