POSITION SUMMARY
The role is responsible for managing the end-to-end process of quote requests, estimates, and bids while ensuring accurate documentation and coordination with internal teams and third parties. This position plays a critical role in supporting project execution by compiling submittals, tracking project feedback, and providing administrative support to streamline operations and meet client expectations.
DUTIES AND RESPONSIBILITIES
- Quote Request Management: Organize and track all incoming quote requests by job and customer, ensuring accurate and timely processing to meet client expectations.
- Estimate Oversight: Coordinate with relevant teams to ensure estimates are completed promptly and accurately for all project bids.
- Bid Tracking and Feedback: Monitor the status of all projects bid, track feedback during the job award phase, and maintain detailed records to support decision-making and client follow-ups.
- Submittal Compilation: Compile and prepare required submittal information for customers, ensuring compliance with project specifications and deadlines.
- Third-Party Coordination: Request and manage quotes for third-party materials, ensuring cost-effective and timely procurement to support project execution.
- Document Control: Maintain accurate and up-to-date documentation for ongoing jobs, ensuring all project records are organized and accessible for internal and client use.
- Administrative Support: Perform regular administrative tasks as directed by the Project Manager, Plant Manager, and COO, including scheduling, reporting, and other operational support duties to streamline workflows.
- Safety and Quality Coordination: Collaborate with the Safety and Quality Departments to ensure accurate project-specific information is supplied for customer submissions, meeting all required standards and specifications.
QUALIFICATIONS
- Experience: Minimum of 2 years of experience in a project coordination, administrative, or similar role preferably within a manufacturing or construction environment
- Education: High School Diploma or equivalent professional experience.
- Technical Proficiency: Demonstrated experience using administrative and office tools, including Microsoft Office Suite (Excel, Word, Outlook) and Adobe Acrobat.
- Industry Knowledge: Basic understanding of manufacturing or construction processes, including material procurement, project bidding, and submittal requirements.

- Organizational Skills: Strong ability to organize and prioritize multiple tasks, such as managing quote requests by job and customer, tracking project bids, and maintaining accurate documentation.
- Attention to Detail: Proven capability to ensure accuracy in estimates, submittal packages, and document control to meet client and project requirements.
- Communication Skills: Effective verbal and written communication to coordinate with internal teams, request third-party material quotes, and coordinate with customers as needed.
- Problem-Solving: Ability to proactively identify and address issues, such as delays in quote processing or missing documentation, to keep projects on track.
- Adaptability: Capacity to work under the direction of multiple stakeholders (Project Manager, Plant Manager, COO) and adapt to evolving priorities in a fast-paced environment.
- Technical Aptitude: Quick learner with the ability to utilize and navigate existing tools and systems through on-the-job training.
Preferred Qualifications:
· Preferably involving project bidding, quote management and document control.
· Experience in a manufacturing environment, particularly with precast concrete or similar industrial products, to better understand project-specific needs.
· Familiarity with industry-standard project management practices and tools used for bid tracking and document control.
Familiarity with ERP or CRM systems. Prior experience with Microsoft Dynamics 365 Business Central and/or CRM is highly preferred, or the ability to quickly learn and adapt to these platforms.

Pay: $60,000.00 - $70,000.00 per year
